Every little bit helps: In-Kind Sponsorships

What makes any conferencing event successful?

You need to get the attendees – Campers in our case – excited and involved. You need full tummies and quenched thirsts. You need an After-party for post-event mingling.

You need sponsors.

We’ve asked for your money as a Sponsor and a Micro-Sponsor. We appreciate those of you that have signed on as Sponsors and donated some of your hard earned cash to help make this event a reality. We know that some of you want to help make this an epic event but don’t want to volunteer and dont have the money to become a regular sponsor.

That’s ok. There are other ways for you to contribute.

Micro-sponsorship – How to pitch your business to everyone at WordCamp this year

Are you a small fish in a big pond? Do you use WordPress as a part of your business? Have you been wanting to get involved with WordCamp Cape Town, but thinking you’re too small to play with the big boys?

Small guys, big teeth

Get involved as a Micro-sponsor for WordCamp Cape Town.

This year we are offering the opportunity for micro businesses and freelancers to also get behind the event and sponsor WordCamp. To this end we’ve created the Micro-Sponsorship package, which is a slightly more expensive ticket (R650) aimed at this group of WordCampers and comes packed with a few unique priviledges.

Sticker Designs – Round 2

We’ve had a lot of feedback on the first drafts of the sticker and t-shirt designs. We’re taking it as a vote of confidence that some of you have shown the willingness to stick the WordCamp Cape Town stickers on your MacBooks, and we’re powering forward.

The idea behind this draft of the designs was to present an alternative, simplified approach to the WordCamp 2012 branding, making use of regular WordPress logos with variations of the colour scheme.

Before commenting, please note that the light grey outlines around each sticker represent the dye-cut guidelines (just in case anyone mistakes it for a tacky design choice).

There are:

  • 1. Circular Sticker
  • 2. Shapely Sticker – Long
  • 3. Other Shapely Stickers
  • 4. Code Stickers
  • 5. Name Tags

Let us know what you think!

WordPress & Code Poet Swag

In July I wrote about a how awesome WordCamp Central and the Code Poet team sending us some swag to give away to Campers at the upcoming event.

I got a surprise this morning when I walked into my office there was a package from WordPress with the buttons they mailed me for #WCCT. I also had a slip to say that the Code Poet parcel waiting at the post office.

Make sure you arrive at registration early on event day to get your share of the swag. The tshirts will be given out randomly as prizes throughout the day.

Happy Camper with Code Poet & WordPress Swag!

Close up of the swag!

First draft stickers designs – Give your input

The first designs for stickers at this year’s WordCamp have arrived, courtesy of Inkfish.

The floor is now open for your comments and suggestions before they get printed. We want you to make these your own and help us produce an end product that you want to stick on your stuff.

People love stickers! They stick them on their car, their guitar and their computer. Mac users are a bit iffy about stickers tarnishing the MacBook aesthetic, but we hope these stickers will inspire Mac sacrilege. PC users are gonna stick these everywhere!

There are:

  • Shapely stickers
  • Circular stickers
  • Name tag and shortcode stickers

We need to pool ideas from you, the community, to ensure sticker designs belong to every attendee at WordCamp this year!

Now these are the first draft sticker designs, and we encourage you to give us your input on these initial ideas. There will be a sheet of stickers per attendee, the idea is to have multiple stickers to choose from and a name tag.

Tickets go on sale for 2012 event

The important stuff first….

Last year we used entryTickets.net to sell the WordCamp tickets. Out of nearly 200 tickets sold we had almost no issues with ticket purchases. The owner of the site Paul Scott provided me with amazing support, which is why I decided to use entryTickets to sell this years’ WordCamp CT tickets again.

Take a look in the navigation of the WordCamp CT for the “Register Now” button and buy your WordCamp Cape Town 2012 tickets now!

Should anyone have any issues with the ticket system feel free to email the organising team – capetown@wordcamp.org

The full story behind using entryTickets…

Outside of WordPress my passion is mountain biking and trail running, as a result I regularly enter for races online. What I can say is that entering a race is usually a painful user experience, I am sure many of you have shared this experience online at some point.

Magnetic South is an events organising company who focuses on sports events and they use the entryTickets system for various of their events. When I used entryTickets the user experience was simple, straight forward and I was not frustrated. As a result I choose entryTickets for WCCT 2011.

The WordCamp websites are powered by a MultiSite system. The WordCamp organisers all have the same themes and plugins to use. Some people would say this is limiting, but I really don’t mind, its a great system and I am able to publish what I need.

This year I wanted to use the built in Event Ticketing system, which is powered by WP Event Ticketing by 9seeds. Last year I did not have a PayPal account, however this year I have a PayPal account and decided to use WP Event Ticketing.

First step… RTFM or read the “getting started” instructions. I quickly realized that using PayPal would not work as the ZAR currency is not supported. This is not something new to me as we deal with this limitation on web development projects. Usually there is a way around it like using the currency converter WooCommerce extension.

With the WordCamp CT website there is no way for me to display ZAR for ticket prices. I have to choose a supported currency USD or Euro. This means that when you land on the ticket sales page you will see something like the WordCamp Edinburugh ticket sales page. This would be confusing to users.

We actually went ahead with configuring PayPal, activating ticket sales and doing some internal testing. The UX feedback was not positive, which made me feel uncomfortable.

Paul Scott from entryTickets mailed me and asked me if I was interested in using his site to sell WCCT 2012 tickets via his site again. I made the tough decision to go for a non-WordPress event ticketing solution. Being a WordPress fan I want to use WP for everything, but in this instance I feel using a South African service will be more suitable.

Thanks for reading!

Venue confirmed and booked for 2012

Last Thursday I went the Kirstenbosch conference venue to speak to the Alison Pekeur who is the Events Co-ordinator at the Kirstenbosch Visitors’ Centre. She has booked the venue for WordCamp Cape Town on Thursday 4th October 2012.

The votes indicated that the most popular date for the event was the 5th October, however by the time I put my booking in the 5th was already taken. The next best date was the 4th October and its booked!

The top level agenda is as follows:

  • 8-9am registration starts
  • 9am introduction speaker
  • 10:30-11am tea break
  • 11-12:30am next session
  • 12:30-1:30pm lunch break
  • 1:30-3pm next session
  • 3-3:30pm tea break
  • 3:30-5:30pm last session for the day

Zaheed Manuel commented about Friday mosque, so happy to tell our Muslim friends that you won’t be missing out on anything.

Rob Hope mentioned that Rocking the Daises is a 4 day event this year starting on the Thursday 4th October and Nicholas Pretorius commented that he is keen to fly down from Pretoria to attend both WordCamp CT and Rocking the Daisies.

I am glad that the admin task of booking the venue is behind me, now I have to start raising sponsorship to pay for the event. If you would like to sponsor WordCamp CT then please take a look at the sponsorship packages and apply to be a sponsor.

Its hard to please everyone, last year I feel we made a success of pleasing our Campers! One of the comments was that the food served was amazing, it was really great, but unfortunately its costly to provide food for all the attendees. Last year the food and coffee per head price was approximately R300 per person which worked out to be around R60000. WordPress requested last year that WordCamp organisers charge approximately R135 per ticket, which meant that sponsorship was key to making the event a success.

This year the aim is to get at least 300 people and WordPress has said we can sell tickets at R165 per person. Venue hire and catering costs without lunch for 300 people work out to be about R300 per person currently, this is due to the anticipated increased number of attendees. If we manage to get sufficient sponsorship to cover lunches for everyone, then we will definitely cater lunch.

Moyo has taken over the restaurant at Kirstenbosch gardens and they have provided this as a menu:

  • Arrival tea/coffee – moyo crunchies and seasonal fresh fruit platter
  • Mid morning tea/coffee break – Homemade muffins with Tierhoek preserves
  • Afternoon tea/coffee break – moyo chocolate brownies

To conclude, I am certain this year’s event will be one up on last year’s event. The venue will be stunning as its in spring time and the flowers will be out in full bloom. The snacks we do have planned will be delicious. There should be a bigger crowd, which will help to make the experience more diverse. I doubt we will run out of space as the venue could cater for as many as 400 people.
